A card for a desk or a department

One Kard in the desk's own name, for a temple, a clinic, a school or an NGO: its QR on a desk card, what visitors leave in one list, and coordinators who change without a new card.

A temple's information desk, a clinic's reception, a school's admissions office, an NGO's volunteer counter: people walk up, ask, and leave. The volunteers behind the desk change every few months; the desk doesn't. Give the desk one Kard in its own name, and what visitors save and leave stays with the department, whoever is on duty.

One card, in the department's name

  1. A coordinator starts a team for the department (Start a team). It's free for up to 25 people.
  2. On the team's page, press "New Kard" and name it as the sign over the desk says: "Information Centre", "Front Desk", "Admissions". Under "Who is this Kard for?", choose "Nobody yet: keep it with the admins".
  3. In Edit Kard, give it the department's own email address and phone number, not a volunteer's. That's what visitors save, so it stays right when the people change.

A Kard named for a desk or a department speaks for it: its printed cards say "Scan to save our details", where a person's say "my".

Your logo, in the code and on the card

On the Kard's Share tab, "Customize QR" opens the QR studio; in its "Your logo file" box, "Add a logo", then "Save logo", and the logo sits in the middle of the code (Your QR code). The team's logo goes on its Kards and printed cards once "Team logo on Kards" is on in the team's settings (Team branding and links).

A card on the desk

On the Share tab, "Make a desk card" (on a phone, "Printable card", then "Desk card") makes a card that folds into a tent: the desk's name and logo, "Scan to save our details" and the QR code, on both sides, so it reads from either side of the desk. Print it on an A4 or Letter sheet, cut it on the marks and fold it, or send the print-shop PDF to a shop. For a stall or a noticeboard, "Event poster" prints a page that asks people to leave their details. Each scan counts under "QR scans" on the Kard's Analytics tab (Print your card).

What visitors leave, and where it goes

A scan opens the desk's Kard: visitors save its details, and the exchange asks for theirs, with up to two questions of your own, such as "Which course are you asking about?" (The exchange). Each person lands on the Kard's Contacts tab, and the email about them goes to every admin of the team, so no coordinator misses one. "Export CSV" there downloads the list as a spreadsheet (Your contacts). To have each new person added to a Google Sheet as they come, within seconds, follow Every new contact in a Google Sheet.

For a festival, an open day or a camp, add an event with its days to the desk's Kard: everyone who leaves their details while it runs is filed under it, and a recap lists them the morning after its last day, and each evening of a longer one (Events). The event poster names the event and its days.

When the volunteers change

  • A new coordinator: "Invite someone" on the team's Members page, or send the join link (Let people join with a link), then press "Make admin". They get the contact emails from then on.
  • Someone moving on: "Remove…" beside their name. The desk's Kard stays with the team, with its link, its QR code and every contact, so the printed desk cards keep working.
  • A volunteer who looks after the Kard: under "Who holds each Kard", choose them and press "Give"; they can edit it from then on. Choose "Nobody (the admins)" to take it back. Giving it keeps its link, its QR code and its contacts.
