Events

Give a fair or a meetup its days, on one Kard or several of your team's at once: everyone they collect there is tagged, a recap each evening lists the day's new people, and one the next morning lists them all.

At a trade fair you meet forty people in two days, and by Monday they blur. Add the fair to your Kard as an event, with its days, and everyone the Kard collects while it runs is tagged with it. Instead of an email for each new contact, a recap each evening lists the day's new people, and one the morning after the last day lists them all, ready to follow up. On every plan. A fair from the stand to the follow-ups, on one page: eKard at trade fairs.

Add an event

  1. Open Events in the sidebar (under "More tools" until you have an event) and press "New event" ("Add your first event" the first time).
  2. With more than one Kard, tick under "Collect on" each Kard you'll share there: its QR on your stand, its link in your messages. The Kard you came from is ticked, else your team's own Kard, else your first. With one Kard, the event is that Kard's.
  3. Give it a "Name", such as "Spring Trade Fair". People you meet there see it: the email they get with your Kard says "You met at Spring Trade Fair." Under it, "A line for the people you meet there" goes at the top of that email, in place of your Kard's own line, which goes only to people you meet outside an event.
  4. Set its "First day" and "Last day". An event runs for up to 31 days, and an account makes up to 30 new events an hour.
  5. If it runs only part of each day, set "Starts at" and "Ends at" under "Hours on each day": only the people met from half an hour before it starts to an hour after it ends are tagged, so someone you meet that morning stays out of an evening event. Add "Where" for its place. Both are optional, and the poster, the recaps and the email your visitors get show them: "You met at Spring Trade Fair, Hall 4, Sat 14 Nov, 10:00–18:00."
  6. Under "Time zone of the days", keep "Your own time zone", or pick the event's city when you travel to it: each day runs midnight to midnight there.
  7. Add a "Note" if you like, such as "Hall 4, stand B12": only you see it, or on a team's Kards the team does; visitors never see it. Under "Questions visitors answer", add up to 2, each a short answer or 2 to 6 choices. Press "Create event".

Leave the days empty and the event is a tag you pick by hand, with no tagging and no recap.

The event's questions

An event's questions are asked after name, email and number, in place of the Kard's own, only while it runs: on its days and, with hours, from half an hour before it starts to an hour after it ends, as its visitors are tagged. Before it, between its days and after it, the Kard asks its own. The form opens with what the Kard asks now, and before it saves it names each question it takes off: "While Spring Trade Fair runs, Asha Rao's Kard stops asking “What are you working on?” It asks its own until half an hour before the event starts, and again from an hour after it ends." An hour after the event ends (at the end of its last day, for an event without hours) they come off by themselves and the Kard's own come back, and the same when you delete the event or empty its questions. Answers already given keep their question. An archived event keeps its questions, and asks them again once you unarchive it.

The event's Edit and page say when its questions are asked ("Asha Rao's Kard asks these while Spring Trade Fair runs: Sat 14 Nov, 10:00–18:00, from half an hour before it starts to an hour after it ends. Before it and after it, it asks its own: “What are you working on?”"). Two events with questions on one Kard take turns: the Kard asks the questions of the event its visitors are tagged with, so another of its events the same day asks its own during its hours and the hour after, and the page of the one around it says so. Where two events meet, each one's own hours come first: an open house from 12:00 asks its own question at 12:15, though the one before it ended at 12:00.

While it runs

Every new contact on that Kard is tagged with the event: someone who shares their card back or sends their details from your Kard, a paper card you scan in the app, someone you type in. Bookings aren't, since they're made from your booking page rather than at the stand. The Kard's Share and Contacts tabs say so, such as "Spring Trade Fair is running: day 2 of 3", with "See who's tagged". The per-contact emails pause on that Kard until the event ends.

Each evening

When the event runs two days or more, a recap comes at about 7 each evening, the last day's too, in the event's time zone: "Spring Trade Fair, day 1: 12 new people". It lists the people tagged since the evening before, with the same buttons as the morning's, so you can send a message that night while they still remember you. Someone you meet after it comes is in the next one. Nobody new, no recap that evening.

The morning after

At 8 the morning after the last day, in the event's time zone, the recap arrives: "Spring Trade Fair: 34 people to follow up". It counts how they came ("18 shared their card back, 12 scanned and 4 typed in"), and lists each person with their job title, company and your note, and "WhatsApp", "Call" and "Email" buttons. It goes to whoever holds the Kard and, on a team Kard, the team's admins, once, and only if someone was tagged; an event on several Kards sends each admin one recap for all of them (below). Change the last day and it comes again after the new one.

With the app on your phone and its notifications for new contacts on, each recap, evening or morning, comes as a notification too: for one person, "Call" and "WhatsApp" right on it; for several, a tap opens the event's contacts. The notification comes even when the Kard's emails for new contacts are off.

The event's page

Open an event from Events to see the people met there and how they came, and "Make the event poster" to print its QR with its name, hours and place. "Open all of them in Contacts" shows just them, to set reminders (Notes and follow-ups) or add notes, and "Export a CSV" downloads them, with an "Event" column. Each person shows their latest line under "Reached out", such as "Opened WhatsApp · Fri 23 Oct", and while some have none, "8 not reached yet" opens just them (Your contacts). On a contact's sheet, "Event" says where you met them; "Pick an event" or "Change" sets it by hand, for someone you met there and added later. Someone who comes back at a later event and leaves their details again is on both: they stay in the first one's list and count, and join the later one's.

One event on several of a team's Kards

A team's admins can put one event on the team's Kards at once: open Events → New event, or "New event" on any team Kard's events, and tick each Kard under "Collect on", the team's own Kard first, each named by who holds it. Several Kards of your own work the same way; one event takes one team's Kards, or Kards of your own, never both. Each Kard gets its own event, so its people are tagged on it, and the event is set once for all of them: its name, days, line for visitors and questions. Holding one of the Kards, you get an email when someone else puts an event on it, "Rhea Kapoor added Lumen Open Studio to your Kard Arjun Mehta", with its days and what visitors will be asked. That email comes once an hour at most: events added after it, within the hour, come together in one when the hour ends, "Rhea Kapoor added 3 events to your Kards".

Events lists it once, "4 Kards · Lumen Studio", with everyone it met counted once, and "Its 4 Kards" opens each Kard's own page. For the team's admins, the event's page lists everyone its Kards met on one page, each once with every Kard they left their details on: "Everyone" and a chip for each Kard narrow the list, and "Export everyone as one CSV" downloads them all, with a Kard column naming each Kard. A holder sees their own Kard's people, and how many more the team's other Kards met. An admin's edit changes it on every Kard: "Change it on all 4 Kards" is ticked, and unticking it changes only the one you opened. Once it's over, "Remove them from the 4 Kards" stops its questions everywhere at once.

The day before it starts, whoever runs it (a team's admins, else you) gets one email at about 10 in the morning, in the event's time zone: "Lumen Open Studio is tomorrow on 4 Kards", with its hours and place, the Kards with no number or photo yet, each with its Edit, the questions visitors will be asked, and "Print the poster". So does an event on a team's own Kard alone.

Each holder's recaps list the people their own Kard met. Each admin gets one recap of everyone instead of one a Kard, and only that one when they hold one of the Kards too (on Kards of your own, so do you): "Lumen Open Studio: 25 people on 4 Kards", grouped by the Kards that met them, each group saying who follows up, and someone who left their details on two Kards listed once, under both. A Kard that leaves the team, or joins one, takes its event out of the group: it keeps its event and its people, and they stop counting in the others' recaps.

Good to know

"Archive" stops an event tagging new contacts and keeps it off the contact sheet's choices; the people tagged keep their tag, and it keeps its questions for when you unarchive it. "Delete" removes the event, never the people: they stay in the Kard's contacts, without the tag. If two events on a Kard overlap, new contacts go to the one whose hours hold the time, else the one that started later: a talk inside a fair, say.
