Notes and follow-ups

A contact's company and job title, your own note, and a reminder to get back to them on a working day, in one morning email.

A contact is worth most in the week after you meet. Each one on a Kard's Contacts tab can carry what you know about them, their company, their job title and a note of your own, and a reminder that brings them back to you on the right morning. All of it is on every plan.

Company, job title and your note

  1. Open Kards, pick the card, and open its Contacts tab. Tap a contact's name to open "Contact details".
  2. Under "Your note", press "Add a note" ("Edit" once there's something to change).
  3. Fill in "Company", "Job title" and "Your note": where you met, what they need, what you promised. "Met at the expo, wants 200 units by March", say. Their "Email" and "Number" are here too, to put right a typo (Your contacts).
  4. Press "Save". The sheet confirms what changed.

The job title and company show under the person's name in the list and on the sheet. A paper card scanned in the app fills them in already, and anything else it read waits under "From their card".

A note you're typing isn't lost if the page reloads before you save: the sheet offers it back, with "Restore what you typed" or "Discard it". It's kept for as long as that browser tab is open.

Your note is only for the people who manage the Kard: you, or on a team Kard the person who holds it and the team's admins. It's never shown or sent to the person. It travels with the contact file and the CSV you download, and search finds the person by it.

Remind me

Under the note, "Remind me" sets the day to follow up. Press "Tomorrow", "In 3 days" or "Next week", each with the day it lands on, or pick any day up to two years ahead under "Or a date" and press "Set the reminder". The sheet then says when, such as "Follow up in 3 days (Thu 22 Oct)", and the person's row in the list carries the day.

"In 3 days" and "Next week" know your weekend. One that lands on it says "(weekend)", and a button beside it offers the working day after, "Mon 26 Oct instead". The weekend is your country's, from Edit profile: Friday and Saturday where that's the weekend, else Saturday and Sunday. Once your calendar has its hours (Set up your calendar), the days you don't work count instead, and the choices step past them by themselves, with a line saying so.

On the day, you get one email at about 8 in the morning, your time, listing everyone due, with your note and "WhatsApp", "Call" and "Email" buttons for each of them, then "Done" and "Again in a week". With the app on your phone, a notification comes too. Your time is your calendar's time zone, if you have one, else the one your browser was in. Nothing comes on a morning when nobody is due.

Back on the sheet, once the day has come, "Done" clears the reminder and "Again in a week" sets it for a week from today. The email's links open a page with the same two buttons. They stop working if you sign out everywhere, or change your sign-in email or password, and the page says so, with a way to your follow-ups. Before then, "Clear the reminder" takes it off. "Done" also leaves a dated line, "Followed up", under "Reached out" on the sheet, beside every tap on "Call", "Text", "WhatsApp" or "Email" there (Your contacts).

Nobody forgotten

On the Contacts tab, "To follow up" lists everyone with a reminder in two parts: "Due today and overdue", the most overdue first, then "Coming up". Its count is the first part's, the people waiting on you now. The morning email names someone on their day and, if they're not marked done, the morning after; after that it counts them in one line ("12 more from earlier days aren't marked done yet."), so the same names don't come every morning. They stay in "To follow up" until they're marked done: tick them, or "Select all", and press Done, or Remind me to move them all to another day. The CSV export has a "Remind me on" column with each reminder's day.

Good to know

A reminder belongs to whoever set it. On a team Kard, if someone else set it, the morning email goes to them, and the sheet says so; change it and it's yours. To stop the email altogether, switch off "Follow-up Reminders" in Email preferences.

Met everyone at the same fair? The course on events tags them for you, and the recap the next morning is a good place to set the reminders. eKard at trade fairs shows the whole week after.
