Insights for your business
How full each person is, the busiest hours, no-shows and cancellations, new and returning clients, where bookings come from and which services sell, for any dates.
Insights answers the questions a busy week doesn't leave time for: how full is each person, how many people didn't turn up, which services sell, and where bookings come from. It reads what the calendar already holds, so there's nothing to set up: open Calendar → Insights.
Pick the dates
Insights opens on this month. "Week" shows Monday to Sunday and "Month" a calendar month; the arrows step to the one before or after. For anything else, set "From" and "To" and press "Show" (up to 366 days at a time). Everything is counted in your calendar's time zone: each booking on its date, and money on the day it was taken, as on the takings page.
Dates that are still to come count too. Where the dates you picked have begun, booked time is split at now: what has happened so far, and how much of the time still ahead is already booked.
The numbers at the top
- Bookings. Everything booked for these dates that wasn't cancelled or declined, requests still waiting for your answer included.
- Booked time. How much of the team's working time was booked.
- No-shows. The share of bookings that have started where the client didn't come.
- Taken. What was marked paid in these dates, tips apart.
Every panel below says in a sentence what its numbers mean, and most names and counts open the bookings behind them, so you can see who didn't come or which visits came from your website.
How full
Each person's booked time against their working time. Working time is their hours, or their special hours for a date, less time off, breaks, blocked time and days you're closed. Booked time is the time bookings hold: prep and cleanup count, and so does a no-show (the time was kept for them). Processing time, when a client waits while colour develops, counts as free, because the person can take someone else then. Cancelled visits free their time. Time booked outside someone's hours is shown on its own, so a share never goes past 100%.
Busiest hours
A square for each hour of the week, showing how much of the working time in it was booked: the darker, the fuller. Blank squares are hours nobody works. The sentence above it names the fullest hour and the one with the most room, which is a good place to start when you plan staff, breaks or an offer.
No-shows and cancellations
The no-show rate counts only bookings that have started. A visit nobody marked as arrived, completed or a no-show counts as a show, and the sentence says how many there are, so marking no-shows on the day keeps the rate honest. The cancellation rate is out of everything booked for these dates, and says how many were cancelled by clients and how many by your team (or by you, on a calendar you run alone). With a team, each person gets their own line.
New and returning clients
A client is new when they had no visit before these dates (the same rule as the "New" badge on Today, and as "new this month" on the clients page), and returning when they did. No-shows don't count as a visit, and walk-ins without a name aren't counted.
Where bookings come from
- Online, split into Kard booking pages (the Book button, its QR code or the booking link you share), single-use booking links, and your website (the booking page or the pop-up button from the share kit).
- Booked by your team ("Booked by you" on a calendar you run alone), walk-ins, and bookings made through the API.
- By Kard, when bookings come through more than one of your Kards. Bookings from a Kard you've deleted since are counted together on a line of their own, so the lines add up.
- How the rest came in: the phone, WhatsApp, Instagram, in person or another way, as your team noted it on each booking.
How far ahead people book
The time from when each booking was made to its start, in days on your calendar's clock: on the day, the day before, 2–6 days, and so on, with the point half of them book at or beyond. Walk-ins, and visits your team added after they started, aren't bookings made ahead and stay out of it. A repeating booking counts once, at its first visit: the later ones were booked with it, weeks or months before they come, which says nothing about when clients decide.
Services and money
Each service's bookings for these dates, and the money taken for it. The money is exactly the takings page's for the same dates; a visit with more than one service splits its payment by their prices. "Takings for these dates" opens the takings page for the payments themselves.
"Download these numbers (CSV)" gives every panel as a table in one spreadsheet. It holds counts, hours and money only, never a client's name.
Insights is for admins: it carries the takings and each person's booked time and no-show rate. Front-desk and staff logins don't see it. An AI agent or your own code can read the same numbers, with the same sentences, from the API (Webhooks and the API).
